Heron Operations Consulting (ABN [insert ABN]) respects your privacy. This policy explains how we collect, use, store and disclose personal information, and how to contact us about it.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles.

1. What we collect

We collect only what we need. Depending on how you interact with us, that may include: your name, business name, email address and phone number when you contact us; the content of your enquiry or correspondence; information you provide during a consulting engagement, including business documents, process information and operational data; and technical information about your visit to this website, such as browser type, device, approximate location and pages viewed.

2. The Mini-Assessment

Our free Mini-Assessment does not ask for your name, email address or phone number, and we do not attempt to identify who completed it. Responses are stored anonymously and used in aggregate to improve the tool and understand common operational pressures. If you contact us afterwards and refer to your results, you are providing that link yourself.

3. How we collect it

We collect personal information directly from you — through our contact form, by email or phone, or in the course of an engagement. We may also collect limited technical information automatically when you visit the site.

4. Why we collect it

We use personal information to respond to enquiries, provide consulting services and manage engagements, issue proposals, invoices and correspondence, meet legal, tax and record-keeping obligations, and improve our website and services. We do not sell personal information.

5. Marketing

We do not run marketing lists or send newsletters. If that changes, we will only send marketing communications where you have opted in, and every message will include a way to opt out.

6. Who we share it with

We may disclose personal information to service providers who help us operate (cloud storage, email, website hosting, analytics, accounting and billing systems), to professional advisers where necessary, and to regulators or law enforcement where required by law. We require service providers to handle information securely and only for the purpose we engage them for. We do not disclose client information to third parties for their own marketing.

7. Overseas storage

Some services we use store data on servers outside Australia, including in the United States and the European Union. Where that happens, we take reasonable steps to ensure the information is handled consistently with Australian privacy law.

8. Cookies and website analytics

This website uses Microsoft Clarity to understand how visitors use the site. Clarity sets cookies and records interaction data — including mouse movement, clicks, scrolling, pages viewed, browser and device type, and approximate location — and uses it to produce aggregated heatmaps and session replays. We use this to find where the site is confusing or difficult to use.

Clarity is operated by Microsoft, and the data it collects is processed and stored on Microsoft infrastructure, which may be located outside Australia. Text you type into form fields is masked and is not captured in recordings. We do not use Clarity to identify individual visitors, and we do not combine it with other information to do so.

You can disable cookies in your browser, and you can opt out of Clarity tracking through Microsoft's opt-out settings. Some parts of the site may not work as intended with cookies disabled.

9. Security

We take reasonable steps to protect personal information from misuse, loss, unauthorised access, modification and disclosure, including access controls, encryption in transit, and storage on reputable secured platforms. No system is completely secure, and we cannot guarantee absolute security.

10. How long we keep it

We keep personal information only as long as we need it for the purposes described above, or as required by law. Client records are generally retained for seven years to meet tax and professional obligations. Anonymous assessment data may be retained indefinitely, as it does not identify anyone.

11. Access and correction

You may request access to the personal information we hold about you, and ask us to correct anything inaccurate or out of date. Contact us using the details below. We will respond within a reasonable period, and will tell you if we are unable to provide access and why.

12. Complaints

If you believe we have mishandled your personal information, please contact us first — we will investigate and respond within 30 days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au or 1300 363 992.

13. Changes to this policy

We may update this policy from time to time. The current version is always the one published on this page.
